Question 5

What is expense coding in Bvodo?

Accepted Answer

Expense coding lets organizations create custom categorization fields (like Client, Project, Department, or Cost Center) that employees select when submitting expenses. These fields sync directly to QuickBooks as Class, Customer, or Department references for accurate cost allocation.

Question 6

How does Bvodo compare to Concur or Expensify?

Accepted Answer

Bvodo offers similar expense management features but with deeper QuickBooks integration, faster reimbursements (including instant payouts), and built-in travel booking. It's designed to be simpler and more affordable for small to mid-size businesses.

Question 7

How do expense coding fields work in Bvodo?

Accepted Answer

Bvodo supports up to 3 custom coding fields per organization. You can create hierarchical fields (e.g., Client → Project) where child options filter based on parent selection. Fields can pull values directly from QuickBooks (Classes, Customers, Projects, Departments) or be manually defined. When expenses sync to QuickBooks, these fields map to ClassRef, CustomerRef, or DepartmentRef for accurate cost allocation and reporting.

Question 8

What is the best expense management software for startups?

Accepted Answer

For startups, Bvodo is ideal because it offers a free tier with core features, requires no complex setup, and scales as you grow. Startups benefit from instant reimbursements (keeping employees happy), automatic QuickBooks sync (saving accounting time), and built-in travel booking (no separate corporate travel tool needed). It's designed to be simple enough for a 5-person team but powerful enough for growing companies.

Question 9

What is the best expense tracking app for small businesses?

Accepted Answer

Bvodo is built specifically for small and mid-size businesses (SMBs). Unlike enterprise tools like Concur that are complex and expensive, Bvodo offers straightforward expense submission, receipt capture, multi-level approvals, and direct QuickBooks integration at an affordable price. SMBs particularly value the fast reimbursements and elimination of manual data entry between expense reports and accounting.

What expense categories does Bvodo support?

Bvodo includes common expense categories like Food & Dining, Transportation, Mileage, Per Diem, Lodging, Events & Entertainment, Supplies & Equipment, Technology, BYOD, Training & Education, Software & Subscriptions, Telecom & Internet, and Other. Each category can be mapped to your QuickBooks chart of accounts for automatic syncing.

Question 14

How does Bvodo compare to Pleo?

Accepted Answer

While Pleo focuses on corporate cards, Bvodo takes a reimbursement-first approach that works better for companies where employees use personal cards or need per diem and mileage tracking. Bvodo offers deeper QuickBooks integration with GL account mapping, expense coding fields, and hierarchical categorization. Plus, Bvodo includes built-in business travel booking that Pleo doesn't offer.

Question 15

Is Bvodo better than Pleo for expense management?

Accepted Answer

Bvodo is better for companies that need strong QuickBooks integration, employee reimbursements, and business travel booking in one platform. Unlike Pleo's card-centric model, Bvodo handles out-of-pocket expenses, mileage, per diem, and receipt-based reimbursements with instant payouts to employee bank accounts or debit cards.

Question 16

How does Bvodo compare to Float?

Accepted Answer

Bvodo offers instant reimbursements to employee bank accounts, hierarchical expense coding, and native QuickBooks sync—features that complement or replace card-based solutions like Float.

Question 17

What is the best Pleo alternative for small businesses?

Accepted Answer

Bvodo is a strong Pleo alternative for small businesses that prefer reimbursement-based expense management over corporate cards. Bvodo offers faster employee payouts (instant to debit card), deeper QuickBooks integration, custom expense coding fields, and built-in business travel booking—all at a more affordable price point for SMBs.

Question 18

What is the best Float alternative in Canada?

Accepted Answer

Bvodo is an excellent Float alternative for Canadian businesses. It supports CAD currency, Canadian bank payouts, and QuickBooks Online Canada. Question 19

Does Bvodo offer corporate cards?

Accepted Answer

Bvodo focuses on expense reimbursements and travel booking rather than corporate cards. Employees submit expenses and receive fast reimbursements (1-2 days standard, or instant to debit card).
